Description

The AMI Vascular Institute is seeking a Receptionist-Scheduler to join the team in the new, upcoming Eatontown Vascular Institute location. The ideal candidate has exceptional interpersonal skills, organizational abilities, and a dedication to patient care to join AMI's dynamic healthcare team. As the first point of contact for patients and visitors, the Receptionist-Scheduler will play a pivotal role in ensuring smooth operations within our Interventional Radiology department and significantly contributing to the patient experience.

The responsibilities of the Vascular Institute Receptionist-Scheduler include, but are not limited to:

  • Greets patients and visitors in a friendly and professional manner, providing assistance and direction as needed. Ensures a welcoming and comfortable environment within the reception area;
  • Oversees the registration and checkout process and the handling of medical records to assure efficient flow of patients through the office;
  • Coordinates patient appointments, imaging, and consultations efficiently, utilizing electronic scheduling systems. Confirms appointments and provide necessary preparation instructions to patients. Manages scheduling changes, cancellations, and rescheduling requests promptly and effectively;
  • Performs all medical receptionist duties, including answering internal phone calls, scheduling appointments, filing information into medical records, checking patients in and out, collecting co-pays and fees from patients, and completing tasks and paperwork associated with these functions;
  • Collects and accurately enters patient demographic and insurance information into the electronic medical records systems;
  • Serves as a central point of contact for communication between patients, referring physicians, radiologists, and other healthcare providers. Answer phone calls as needed, respond to inquiries, and relay messages promptly and accurately;
  • Maintains organized and up-to-date medical records, ensuring compliance with privacy regulations (e.g., HIPAA). Retrieve and release medical records as authorized by patients or healthcare professionals;
  • Provides administrative assistance to Interventional Radiology staff as needed, including faxing documents and managing incoming and outgoing correspondence;
  • Prepares and distributes schedules, working closely with physicians and office administration to ensure maximum utilization of available appointment availability; and
  • All other duties as assigned.

The full time, 40 hour per week position is based in the Eatontown location. The work schedule includes Monday-Friday 7am-3:30pm. Training will take place in the Toms River office location on Route 37 West, Monday-Friday, 8:30am-5pm during the start of employment. Schedules are subject to change based on business and department needs.

Qualifications

Eligible candidates have a high school diploma or equivalent. Previous medical office & clerical work experience is required. Candidates must have intermediate computer skills, familiarity with the Microsoft Excel suite, with the ability to learn new software systems and adapt to changing technologies. A working knowledge of medical terminology is a plus. Candidates must have exceptional interpersonal skills and verbal communication, including excellent phone etiquette and the ability to speak clearly and effectively with patients, caregivers, and callers. A demonstrated attention to detail with strong organizational skills is required for success in this position.
